When the Plan Has to Move Mid-Trip

Plans move here for ordinary reasons. Rain closes in over the mountains, somebody in the group is unwell, or a day simply turns out to be too much.

None of that is unusual and none of it is a disaster, because what decides the outcome is when you tell us rather than what has happened.

Early news is cheap, late news is not

A change requested the evening before is usually a small matter, while the identical change requested at eight the following morning becomes a different conversation.

This is arithmetic rather than policy, because a driver already on the road cannot be recalled, and a room released at midday cannot be released twice.

Tell us as soon as you suspect a change, even before you are sure. An early maybe is worth more than a late certainty.

What moves easily

The order of your days, because swapping a mountain day and a city day is normally straightforward and solves most weather problems by itself.

The number of travellers, within the capacity of the same vehicle. Four becoming three rarely changes anything at all.

The finish time of a day. Wanting to be home two hours earlier is a small adjustment when it is known in advance.

What moves with difficulty

Anything with a night attached to it, because an overnight in Sheki or Gabala pulls a room, a route and two separate drives along with it.

A change of destination on the day itself. A different direction is a different day, not an adjustment to this one.

Weather is the usual reason

Mountain weather here can be quite different from city weather on the same morning. Rain in Baku does not mean rain in Gabala, and clear skies in Baku do not promise them in Khinalug.

We will tell you what we know about conditions on the day. We will not forecast the weather for you, because that is not ours to promise.

Illness in the group

It happens regularly on longer trips, so tell us how many people are still travelling and whether the pace requires adjusting.

Sometimes the answer is a shorter route rather than a cancelled day. That is often the better outcome for everybody.

Adding rather than cancelling

Plenty of changes involve travellers wanting more rather than less, whether an additional day, an additional stop or a later finish.

Ask in the morning rather than at nine in the evening. The same request has a much better answer when there is a day to arrange it in.

What we will say back

What is possible, what it changes about the price, and what we cannot do. All three, in writing, before anything is agreed.

If a change costs nothing we will say that too. Not every adjustment carries a charge, and pretending otherwise would be the beginning of a bad conversation.
